Reports to: Quality and Governance Lead
Salary: £32,000–£35,000 per annum, depending on experience
Location: Basingstoke - Hybrid (with occasional travel to office as required)
Hours: 37.5 hours per week
Skylight Psychiatry is a forward thinking, dynamic mental health service. We are a CQC registered service delivering person-centred assessment, care and support, with our ultimate aim being to improve the lives of people with neurodevelopmental conditions such as ADHD, Autism and Learning disabilities.
Role Purpose
The Quality & Governance Coordinator provides support across the organisation’s quality and governance activities, including patient-facing assurance processes. The role focuses on maintaining accurate records, tracking actions and deadlines, coordinating information gathering, and supporting leads to ensure governance activity is managed consistently and in line with regulatory requirements.
The postholder works within agreed processes and delegated authority. Accountability for clinical decision-making, formal investigations and final sign-off remains with the relevant leads, while the postholder plays a key role in enabling effective governance through robust coordination and information management.
Key Responsibilities
Quality & governance coordination
Maintain accurate and up-to-date governance logs and registers, including complaints, incidents, and Subject Access Requests
Track actions, deadlines, and progress across governance processes, proactively following up outstanding items
Support preparation for audits, reviews, and regulatory activity through effective document collation and tracking
Support the collation and sharing of quality and governance reports
Complaints coordination
Act as a central coordination point for complaints
Log and acknowledge complaints in line with internal procedures ensuring adherence to relevant timescales
Coordinate information gathering with clinical and operational teams
Support the investigation and preparation of responses to complaints prior sign off by a manager
Subject Access Request (SAR) administration
Log and acknowledge SARs in line with statutory timescales
Coordinate collation of information across systems and teams
Prepare SAR information packs for review and sign-off by the relevant manager
Monitor and track deadlines to support timely completion
Incident tracking and reporting
Maintain the incident log and ensure incidents are recorded accurately
Gather further information where required and support the incident review process
Track investigation progress and associated actions
Chase updates and support timely completion of reviews
Assist with data collation for internal reporting and learning activity
Information gathering and systems support
Extract and collate information from the patient management system and other relevant systems to support complaints, incidents, SARs, and reviews
Prepare clear chronologies and evidence packs as directed
Ensure all information is handled securely and in accordance with data protection requirements
General governance support
Provide administrative and coordination support across wider quality and governance activity, including audits, risk registers, service development plans, policy reviews and associated action plans.
Support consistent application of governance processes across the organisation
Escalate risks, delays, or concerns in line with agreed escalation routes
Contribute to continuous improvement through accurate tracking, reporting, and coordination
Support with sharing and embedding learning from incidents/complaints with relevant teams.
Support with monitoring to ensure any actions arising from relevant incidents/complaints are shared and completed within relevant timescales
Person Specification
Essential
Strong administrative and organisational skills with high attention to detail
Proactive and can-do attitude
Demonstrate initiative, identifying opportunities to improve processes
Experience coordinating complex processes, casework, or workflows
Confidence managing deadlines and handling sensitive information
Clear and professional written communication skills
High resilience and ability to work calmly with emotionally charged material
Confidence using digital systems, databases, and case management tools
Experience working in quality and clinical governance with a passion in the field
Desirable
Experience working in healthcare or regulated environments is highly desirable

Skylight Psychiatry was set up by two professionals with a common goal to improve the lives of the neurodiverse population.
Dedicated to providing the right support for the neurodiverse population and through their own professional and personal experiences, identifying the ongoing imbalance between those waiting for formal assessments/treatment and the current support offered by stretched NHS services during a global pandemic, who do their best to provide this support.
